Daviess County Public Schools (DCPS) is a school district located in Owensboro, Kentucky. The district serves approximately 11,700 students in grades pre-K through 12 across 18 schools. In addition to the schools, the district operates two administrative offices and employs about 2,000 staff members. The district is committed to providing a high-quality education to its students and continuously seeks ways to improve its operations and services.
The Challenge
Daviess County Public Schools (DCPS) in Owensboro, KY, was facing challenges with its traditional method of collecting and exchanging information with parents via paper forms. This process was time-consuming, inefficient, and frustrating for both parents and staff. Parents with more than one child had to fill out the same information on multiple forms, which was inconvenient. Additionally, the school had to keep track of document retention schedules on paper, which was a daunting task due to different document types being purged on different schedules. For instance, attendance data had to be kept for 20 years while health information obtained by school nurses was kept for only five years.
The Solution
To address these challenges, DCPS implemented the DocuWare Cloud solution. This allowed the school to email parents a link to web forms that they could complete on their home computers. The forms used conditional logic to ensure that parents only received forms pertaining to activities their children participate in. When the digital forms were submitted to District offices, they were automatically indexed and stored using secure digital technology. DocuWare workflows also automatically enforced retention schedules established by the Kentucky Department for Libraries and Archives, making compliance easier and more transparent. During the COVID-19 crisis, DocuWare facilitated device assignments to enable teachers to take laptops and other equipment home to implement online learning.
