Participate, formerly known as VIF International Education, is the largest teacher exchange sponsor in the United States. The organization recruits high-quality educators from around the world, creating global education programs for schools and districts. Participate is committed to overcoming language and distance barriers to bring international teachers to the U.S. However, the organization faced significant challenges in managing the extensive paperwork required for this process. The need for a more efficient solution led Participate to implement Salesforce and Nintex DocGen in 2012.
The Challenge
Participate, the largest teacher exchange sponsor in the U.S., faced significant challenges in managing the extensive paperwork required for recruiting and relocating international teachers. The process involved manually pulling, cutting, and pasting data into multiple documents, including virtual resumes, visa applications, and benefit enrollment forms. This labor-intensive process was not only time-consuming but also prone to errors. Furthermore, the requirement for physical signatures meant that documents had to be mailed overseas and then mailed back, causing further delays. The entire process could take months, creating headaches and endless delays for the organization. Over time, Participate outgrew its homegrown system’s capabilities and needed a more efficient solution.
The Solution
In 2012, Participate implemented Salesforce and hired an experienced Salesforce administrator who chose Nintex DocGen to digitize and streamline the manual processes required for international teacher relocations. Nintex DocGen’s document generation service was used to merge required information from Salesforce custom objects into a resume template. This allowed Participate to generate documents with the click of a button, significantly reducing the time and effort required. Using a feature called Content Delivery, Participate was able to send multiple resumes and associated teacher videos to school district leaders, who could then easily review profiles and research candidates. This solution not only streamlined the recruitment process but also provided school district leaders with 24/7 access to virtual resumes.
