LEAP Summit is the largest international conference in South-East Europe for young professionals and thought leaders. Organized annually by the Croatian Office for Creativity and Innovation, in partnership with the European Commission, the summit brings together over 3,000 attendees from more than 100 countries. The two-day event features discussions on some of the biggest challenges in innovation, IT and modern technologies, entrepreneurship, and career development. The summit includes five stages and 90 speaking events, making communication with attendees a critical aspect of the event's success.
The Challenge
LEAP Summit, South-East Europe’s biggest international conference for young professionals and thought leaders, faced a significant challenge in communicating with its attendees. The summit, which hosts over 3,000 attendees from more than 100 countries, needed a reliable and efficient way to keep participants informed about the event's schedule, including any changes in time or speakers. The existing communication method, an official app, was not effective as attendee engagement had dropped over the years. Attendees often missed important notifications about workshops, parties, and awards ceremonies as no reminders were sent outside of the app. This resulted in an overload of queries directed at the event staff, who were tasked with providing basic event information. The challenge was to find a communication channel that was familiar and actively used by the attendees, ensuring that important notifications would be delivered and read.
The Solution
LEAP Summit partnered with Infobip to provide a flexible and secure communications solution that directly engaged attendees using Viber and SMS. Attendees could opt-in during summit registration and choose their preferred communication channels. Even when Viber users weren’t connected to the internet, messages would still reach them over SMS failover. Infobip’s intuitive web-based interface enabled the LEAP Summit team to quickly and easily build scheduled campaigns and provide crucial event information. Attendees would receive a welcome message on the first day of the event, followed by announcements and endorsements from the summit partner, Bolt. The LEAP Summit team also received actionable insights and analytics to monitor campaign engagement in real time. Detailed reporting allowed the team to track campaign engagement, delivery rates, and message seen statuses. The option to schedule campaigns in advance also helped with managing the teams, as well as attendee engagement.
