This solution was chosen over an off-the-shelf engineering transmittal management system and a custom-developed system due to its flexibility and cost-effectiveness. Nintex Workflow 2010, integrated into GBM's existing Microsoft SharePoint Server 2010 system, allowed GBM to modify its document management processes through configuration rather than coding, making it easier to accommodate changes in business practices. The solution streamlined and automated document numbering, metadata assignment, approval, and transmittal processes. The LazyApproval feature was particularly appreciated, allowing managers to approve or decline requests via email without needing to log into the system. Once a document was completed, it entered an automated, staged approval process, and upon approval, Nintex Workflow published the files to the firm’s extranet and emailed a link to the client.
