About The Customer
The customer is a global leader in high technology with a globally recognized brand. The company has more than 100,000 employees worldwide. The company is a long-time user of Google Apps, with employees adopting Google Drive, Hangout, Sites, Docs, Sheets, Slides, and even Gmail in a grassroots way. What started as small groups using individual apps to collaborate quickly grew to a large swath of the organization interacting over the entire Google Apps suite. Although the company has several thousand cloud apps in use to achieve a host of use cases ranging from collaboration to marketing to software development, the majority of cloud usage and data movement is in Google Apps.
The Challenge
The company, a global leader in high technology, had adopted Google Apps for Work organically, with employees using Google Drive, Hangout, Sites, Docs, Sheets, Slides, and Gmail for collaboration. As the usage of Google Apps grew within the company, IT sanctioned the suite and assumed responsibility for administering it. This raised concerns within the information security and audit organizations as there was an increasing amount of data being uploaded to the cloud with little to no visibility or oversight by IT. This was particularly concerning as users stored large amounts of sensitive data in Google Drive, including product details, roadmaps, intellectual property, strategic plans, non-public financials, and other proprietary and confidential information. The IT organization sought a solution to help them discover and control sensitive data across the suite.
The Solution
The company used Netskope for Google Apps to automatically discover content within their corporate sanctioned Google Drive, which houses all of their content created in or uploaded to any Google App. They developed a handful of custom content profiles using Netskope. Using the Netskope policy wizard, they created several profiles for confidential documents and personally identifiable information. Then Netskope discovered all of the content in Google Drive against those profiles, identifying millions of files, tens of thousands of which were a match for the content profile. From there, the customer took action against the violating files. Using Netskope for Google Apps, they were able to segment content by sharing status (private, shared internally, shared externally), file type, and other parameters, and then take bulk actions on the riskiest files first. For example, they could chose to discontinue access to publicly exposed files, transfer ownership of abandoned files, encrypt files with sensitive content, and quarantine content that shouldn’t be in the cloud.
