About The Customer
BioPak is a prominent global manufacturer specializing in compostable packaging solutions and environmental consultancy. Based in Bondi Junction, Australia, the company employs over 90 individuals and operates within the manufacturing sector. BioPak is committed to sustainability and works closely with a diverse range of suppliers and customers. This interaction necessitates the processing and management of numerous purchase order forms and invoices. As a leader in sustainable packaging, BioPak is dedicated to reducing its environmental impact while maintaining efficient business operations. The company is continuously seeking innovative solutions to streamline its processes and enhance productivity, aligning with its mission to provide eco-friendly packaging options to its global clientele.
The Challenge
BioPak faced significant challenges in document processing due to its manual nature. The company, which manufactures sustainable packaging, had to process and manage a large volume of purchase order forms and invoices weekly. The sales team was responsible for manually processing at least 1,000 purchase orders each week, with each order taking up to 30 minutes to process. This manual process was not only time-consuming but also prone to errors, leading to inefficiencies in operations. Jan Cerny, the Chief Technology Officer at BioPak, recognized the need for a more efficient solution to assist the sales team in handling document processing. The goal was to find a way to automate the process, reduce the time spent on each order, and allow the sales team to focus on more value-added tasks.
The Solution
To address the challenges of manual document processing, BioPak's IT team implemented an automated solution using Workato to integrate Docparser with Netsuite. This integration allows for the automatic extraction and transformation of data from documents according to BioPak's specific requirements. The process involves creating individual customer sales orders within Netsuite, with validation checks to ensure accurate data mapping to the correct customer. A notification is sent to the sales team for a final review before the sales order is made available to the warehouse for fulfillment. This automation significantly reduces the time spent on manual processing, allowing the sales team to focus on higher-value tasks. BioPak is also exploring the expansion of this automation to other departments, such as Finance, to automate account receivables, payables, and manage large volumes of documents from suppliers and customers. The ultimate goal is to eliminate manual involvement and free up human capital for more strategic activities.
Operational Impact
  • BioPak achieved significant time savings by automating the document processing workflow, allowing the sales team to focus on higher-value tasks.
  • The manual processing of documents was eliminated, reducing the potential for errors and increasing operational efficiency.
  • The automation solution provided the sales team with more time to refocus their priorities on other work, enhancing overall productivity.
  • BioPak is planning to expand the document processing automation to other departments, such as Finance, to further streamline operations and improve efficiency.
Quantitative Benefit
  • Document processing time reduced by 90%.
