Brigham Young University - Idaho (BYU-Idaho) is an educational institution that, like many others, faces the challenge of teaching its students, parents, and faculty how to use campus technology. The university was struggling with content creation, primarily due to the complexity of the tools they were using and the format of their documentation. Arlen Wilcock, BYU - Idaho's Faculty Technology Consultant, was at the forefront of this challenge, leading a team of 37 students in the creation of guides and documentation.
The Challenge
Brigham Young University - Idaho (BYU-Idaho) faced a common challenge in the education sector: teaching students, parents, and faculty how to use campus technology. The primary issue was content creation. Arlen Wilcock, BYU - Idaho's Faculty Technology Consultant, and his team were using Adobe InDesign to create PDF guides. However, InDesign was not intuitive for all student employees, limiting the number of staff who could create documentation. This resulted in a bottleneck in content creation. Additionally, the format of their documentation, being confined to PDFs, was another challenge they faced.
The Solution
The solution came in the form of ScreenSteps, a tool another department was using. Arlen noticed the speed and efficiency with which they were able to create documentation and decided to try it out. ScreenSteps proved to be a game-changer. It was easy to use, enabling all 37 students in Arlen's team to contribute to content creation. This not only reduced the time taken to create content but also increased the volume of articles produced. An added advantage was that the articles were no longer confined to PDFs, making them more accessible and versatile.
