About The Customer
CCP GmbH is a Hamburg-based company that specializes in employee leasing, personnel placement, and consulting. The company, which was founded in 2016, emerged from a group of companies with locations across Germany. CCP GmbH employs around 500 employees at 10 locations throughout the country. The company's main goal is to optimize and make transparent the complex billing process involved in employee leasing. To achieve this, CCP GmbH has turned to DocuWare Cloud, a cloud-based document management system.
The Challenge
CCP GmbH, a German company specializing in employee leasing, personnel placement, and consulting, faced challenges with its paper-based document management system. The company had to deal with tons of paper documents, including activity reports and accounts for temporary employment agencies, which were inconsistently filed and stored in files and cabinets. Due to the legal retention period of ten years, additional storage rooms had to be rented. The company aimed to set up a common accounting center for all branches, which required a transition to a digital document management system. The goal was to eliminate the need for branches to send out documents by post, but instead, scan them on-site and archive them in a central document pool.
The Solution
CCP GmbH implemented DocuWare Cloud, a cloud-based document management system (DMS), to optimize its HR processes. The DMS enabled more productive work in the branch offices and the billing center. All personnel documents, from signed employment contracts to bank account records, were scanned, automatically indexed by a document recognition system, and then stored in individual digital personnel files. The system is used by around 65 employees, most of them in the branches and 15 in the Hamburg headquarters. DocuWare is linked via an interface to their LANDWEHR L1 software for personnel service managers, which is offered exclusively by their DocuWare Partner. A workflow for recording hours ensures a fast and transparent workflow. The company also plans to implement a workflow for checking incoming invoices.
