The Challenge
EBB Truck Center, a specialist in the commercial vehicle sector, was facing challenges with its accounting processes. The company's decentralized structure, with several branch offices, meant that receipts were often in transit for days and sometimes even lost. This led to delays and inefficiencies in the processing of incoming invoices. The company was also looking to digitize its entire sales process, which was typically accompanied by more than 100 pages of documents and records. These were previously collected in 30 binders, making the process cumbersome and time-consuming.
The Solution
EBB Truck Center implemented DocuWare to digitize its incoming invoices. The company integrated DocuWare into its existing ADDISON and FILAKS.PLUS software, which are specifically designed for the automotive and commercial vehicle industries. The company developed workflows that map processing paths for incoming invoices for a wide variety of situations. These workflows were highly complex, with up to 50 queries and branches. For example, there are workflows that set incoming invoices to a reclamation status and automatically check with the ERP system whether a suitable purchase order exists. The company also plans to digitize the entire sales process, setting it up digitally from the outset as part of the sales process.
