Guardian News and Media (GNM) is a media company that operates the Guardian newspaper. Founded in 1821, the Guardian has grown from a nineteenth-century local paper to a national paper associated with a complex organizational structure, international multimedia presence, and large web presence. The company employs around 2,400 people and has a significant online presence. As part of its operations, GNM needs to share documents with third-party writers, vendors, and others, which necessitates robust document management and security measures.
The Challenge
Guardian News and Media (GNM) implemented G Suite and Google Docs to provide the organization with a suite of collaboration tools that realize the cost savings of storing documents in the cloud. However, the nature of the business requires that documents can be shared outside the organization’s domain with 3rd party writers, vendors and others. This posed a risk of sharing sensitive information outside the domain, which needed to be mitigated.
The Solution
To mitigate the risk of sharing sensitive information outside the domain, GNM selected CloudLock. CloudLock provides G Suite domain administrators with an effective way to manage documents, folders, and users in the domain, as well as documents shared from outside the domain. Administrators can change and correct permissions for all documents and folders, including those they are not shared on. They can audit and secure sensitive documents while having an audit trail for all actions performed with CloudLock. CloudLock also provides ongoing monitoring of the entire domain with email alerts on newly exposed documents and changes in permissions for existing documents. The same report is also available from within the application with the ability to view the specific documents. Users can select a time range and view all the changes in their domain for a specified time.
