About The Customer
Fresenius Medical Care is a global Fortune 500 company based in Germany and North America, specializing in providing services and products for renal dialysis and other medical needs. With over 325,000 renal patients globally and more than 100,000 employees worldwide, Fresenius is a leading provider for patients with kidney issues. The company operates more than 3,800 dialysis clinics and is committed to delivering high-quality care. In North America, Fresenius builds, owns, and runs medical treatment centers, as well as manufactures and distributes medical supplies. The company's North American division includes a department called RECS (Real Estates and Construction Services), which handles construction projects for new dialysis centers and other facilities. Fresenius's executive vision is to be the most trusted provider for patients with renal and chronic care needs by building a comprehensive and integrated network.
The Challenge
Fresenius faced significant challenges in managing and opening new dialysis centers and other physical locations. The RECS department, responsible for construction projects, operated separately from the rest of the company, using a disparate set of unconnected systems. This led to inefficiencies in the review and approval process, with no comprehensive view of project progress and forecasting models. The company needed to improve data management and streamline workflows to complete construction projects faster and provide better patient care. Additionally, approvals for each stage of a project were completed in an ad hoc manner across multiple systems and divisions, leading to unnecessary project delays. The ability to review data was inefficient, and dynamic reports were non-existent.
The Solution
To address the challenges, Fresenius partnered with MCF Technology Solutions to develop a fully integrated project review, approval, and management system using Quick Base. Intelligent automation was built into the workflows, involving other applications and systems. The solution included an automatic and full financial forecasting model, where preliminary information for new medical centers is submitted through a web portal. This portal includes geographical information, management information, cost estimates, and necessary file attachments. Intelligent automation allows data from construction projects to be sent to Salesforce, enabling smarter management decisions and KPI tracking. A bidirectional integration between Quick Base and Prolog was created to eliminate manual data entry and reduce human error. The integration allows for automatic project creation in Prolog once the budget and project approval process is completed. The project schedule is automatically loaded, and projects are prepopulated with an interactive Gantt chart. Workflows for bi-monthly project updates and task lists are synced in the cloud, providing a single record of truth for all divisions. The integration also sends budget data back into Quick Base, allowing for a complete picture of budget estimates versus actual spend.
Operational Impact
  • Fresenius has improved its speed to market for facilities by reducing the time between project conception and completion.
  • The integration of systems has increased collaboration among departments, allowing them to work together instead of in silos.
  • Approval workflows are now automatically routed and simplified between different systems, enabling employees to execute actions and approvals via email.
  • The bidirectional integration between Quick Base and Prolog has eliminated the need for manual data entry, reducing human error and saving time.
  • The integration provides a complete picture of budget estimates versus actual spend, allowing for better financial management and decision-making.
Quantitative Benefit
  • Speed to market for facilities was greatly improved.
  • Approval workflows are now automatically routed and simplified.
  • Increased collaboration amongst departments.
