KEMWEB is a digital agency based in Germany. The company works with clients from a wide range of industries, including media, service sectors, and more industrial companies, to help them advance their digital business. Some of their clients include Werner & Mertz, Schott AG, Sanofi, Rotkäppchen Mumm, Stiftung Lesen, Lanxess, ZDF, and DFB. KEMWEB offers a broad portfolio of services, including hybrid events, videos, image films, broadcast contributions for television, online games, website creation, social media campaigns, and podcasts. The company has a team of 40 highly skilled employees and has witnessed continuous growth.
The Challenge
KEMWEB, a digital agency, was facing challenges in optimizing its administrative processes. The company's existing system, a mix of a self-developed digital filing system and physical folders, was not meeting the demands of an agile, growing company. The auditing process was particularly problematic. The company was looking for a Document Management System (DMS) that could integrate with existing applications and adapt to the needs of individual departments. A cloud solution was preferred.
The Solution
KEMWEB implemented DocuWare Cloud to digitize their administrative processes. The process for checking incoming invoices was fundamentally restructured. Invoices from all suppliers are now received digitally at KEMWEB and enter the DocuWare inbox, where they are read and prepared for posting to the relevant G/L and vendor account. The data about the documents is transferred to the Lexware accounting software in an Excel format. Outgoing invoices generated in the Lexware software enter the archive at the push of a button. Their personnel files are also digitized. An interface to payroll, which is also created with Lexware, ensures that all employees have digital access to their monthly pay slips and can also view their personnel records in other ways. Another important application that was implemented with DocuWare is contract management.
