The agency manages personnel files of candidates seeking employment, which contain various documents such as CVs/resumes, letters of recommendations, and work visas. Similarly, the agency also manages folders for potential employers, which include information about their household or persons to be cared for. The company operates from two offices located in central shopping zones, making it easily accessible for customers to meet with them personally.
The Challenge
SRC Recruitment, a staffing agency based in Singapore, was facing several challenges due to its paper-based document management system. The company had to manually sort and store incoming documents in registers at two different locations. This led to high printing costs and difficulties in controlling the archived paper documents. It was challenging for the employees to quickly determine how long documents had been stored or when they were last updated. Moreover, the paper archive was taking up a significant amount of space, which was a major issue considering the high square footage price in Singapore. The company needed a solution that would allow them to completely digitalize their document handling and storage process.
The Solution
SRC Recruitment implemented DocuWare, a document management system, to digitally manage the personnel files of candidates seeking employment. The system allows the company to scan and store documents immediately in each of their locations. If documents are transferred digitally, they are also placed in the electronic file cabinet. The documents are indexed using a variety of terms, making it easy for employees to retrieve the documents they need. The system also ensures that all documents in the file cabinet are up to date and allows the company to easily check when visas are expiring. The implementation of DocuWare has resulted in a significant reduction in the space required for the paper archive and has improved the security of their documents.
