About The Customer
Established in 1975, the Les Corts Mental Health Centre (CHMLC) is a public body authorized to provide mental health services to citizens as part of “CATSalut”, the Catalunya public health network. Its services include prevention work, psychological help, social services, psychiatric help, therapies, rehabilitation and research. It also works with other social foundations, for example to help its patients reintegrate into the labor market. It is financed through subsidies and framework agreements concluded with the department of health of the government of Catalunya, the public administration of the city of Barcelona, and other social entities and foundations. The Les Corts Mental Health Center boasts six centers and one day hospital in Barcelona and in 2005 was awarded the medal of honor by Barcelona city council.
The Challenge
The administration department of the CHMLC is required to process several thousand documents every month; the majority of which are incoming invoices and large volumes of correspondence concerning grant applications. The center also receives personnel certificates and request forms from the branch offices. Ten employees are responsible for dealing with this huge volume of paperwork, the majority of which is received at the different offices and then transferred to central administration. Before DocuWare was implemented, incoming invoices and internal application forms used to be sent by courier to central administration. Once there, the hard copies were transferred from one table to another according to an established workflow. Each employee kept a copy of the most important document, leading to unnecessary duplications. This traditional way of handling documentation made it difficult to keep a check on processes and a large of amount of time used to be wasted searching for a specific document.
The Solution
Thanks to a good relationship with its specialist office equipment supplier, CHMLC became aware of DocuWare. Following an initial analysis, DocuWare - the company specialized in multifunction equipment and document management - proposed a solution. “I had some experience of electronic document management systems and so I understood something of the subject”, remembers Xavier Millán. “Our priority was optimized processes to guarantee efficient workflows and to be able to check each process stage at the push of a button. In addition, no documents should be lost. I was immediately convinced by the demonstration and so too was the management.” It took just one day to make an inventory of all the document types and workflow processes at CHMLC. Next, in the space of just a few days, the authorized DocuWare partner worked with the customer to develop the requirements specification as project documentation. The document management system was implemented within one week and included the connection of 9s canners of a Nashuatec DSM 622, Nashuatec MPC 2500 Color and a Toshiba e-studio 2500. The workstations were connected to the central document archiving station using COLT lines synchronized at 2 MB and a RAID 5 data server with a capacity of 1 TB was used for storage. Last but not least, the users and administrators were given the appropriate training.

Hospital Inventory Management
The hospital supply chain team is responsible for ensuring that the right medical supplies are readily available to clinicians when and where needed, and to do so in the most efficient manner possible. However, many of the systems and processes in use at the cancer center for supply chain management were not best suited to support these goals. Storage of supplies was also a key consideration given the location of the cancer center’s facilities in a dense urban setting, where space is always at a premium. In order to address the challenges outlined above, the hospital sought a solution that would provide real-time inventory information with high levels of accuracy, reduce the level of manual effort required and enable data driven decision making to ensure that the right supplies were readily available to clinicians in the right location at the right time.
