The Challenge
Rise25, a company that connects businesses to their clients through effective podcast and content marketing strategies, was struggling with managing their workflow. The co-founder, Dr. Jeremy Weisz, recognized the importance of having detailed standard operating procedures (SOPs) to organize the many moving parts involved in launching and managing successful podcasts. However, the SOPs created in Google Docs were unstructured and difficult to work with. The team found it challenging to execute tasks successfully, even with the documented procedures. The documentation system they were using was not effective, and the team often had to rely on Jeremy for help, creating a bottleneck situation. This was not sustainable in the long run and was hindering the company's growth and customer satisfaction levels.
The Solution
In an effort to improve their operations, Rise25 implemented SweetProcess, a business process management tool. Despite initial concerns about the cost, the team found that the tool was worth the investment. SweetProcess provided a structured and efficient way to document SOPs, making them easily searchable and accessible for the team. The tool also allowed for easy referencing of procedures, which was crucial for tasks that involved multiple procedures. Additionally, SweetProcess automated document approvals, speeding up the workflow and reducing manual work. The tool also facilitated seamless onboarding of clients and employees by allowing the creation of detailed procedures for every step of the onboarding process. Lastly, SweetProcess enabled the creation of a centralized knowledgebase, ensuring that operations could continue smoothly even if key employees were unavailable.
