Vestergaard is a global health company dedicated to improving the wellbeing of vulnerable people in developing countries. The company delivers solutions that save lives, with more than one billion people benefiting from its bed nets alone, which have contributed to the reduction in deaths from malaria. Vestergaard has 120 employees working across several geographies including Switzerland (where it is headquartered), Kenya, Vietnam, India, and the US. The company had a complex contract lifecycle that spanned across multiple departments including finance, legal, compliance, and sales.
The Challenge
Vestergaard, a global health company, was struggling with a complex contract lifecycle that spanned across multiple departments including finance, legal, compliance, and sales. The process was non-sequential and time-consuming, relying heavily on email communication. Documents were often duplicated and hard to locate, making it difficult to ensure all necessary actions were taken and all relevant parties were informed. This resulted in considerable delays and confusion in concluding contracts, and they were not always compliant with internal procedures.
The Solution
Vestergaard implemented FlowForma Process Automation to manage their contract requests. The solution was integrated with Microsoft SharePoint, which the company had previously invested in. The automated 'flow' manages contract requests for some of their third-parties (e.g. Distributors and Agents). Four different groups work on the contract lifecycle – finance, legal, compliance, and sales – each responsible for one or several of the 10-step workflow captured in FlowForma Process Automation. The flow spans the entire contract term, from establishing the initial agreement to when a decision is made to either renew or terminate the contract. The FlowForma Process Automation, cloud-based software is accessed by Vestergaard employees all across the globe, including Sales people and their Managing Director when traveling, through their Company SharePoint-based intranet.

Hospital Inventory Management
The hospital supply chain team is responsible for ensuring that the right medical supplies are readily available to clinicians when and where needed, and to do so in the most efficient manner possible. However, many of the systems and processes in use at the cancer center for supply chain management were not best suited to support these goals. Barcoding technology, a commonly used method for inventory management of medical supplies, is labor intensive, time consuming, does not provide real-time visibility into inventory levels and can be prone to error. A lack of visibility into expiration dates for supplies resulted in supplies being wasted due to past expiry dates. Storage of supplies was also a key consideration given the location of the cancer center’s facilities in a dense urban setting, where space is always at a premium. In order to address the challenges outlined above, the hospital sought a solution that would provide real-time inventory information with high levels of accuracy, reduce the level of manual effort required and enable data driven decision making to ensure that the right supplies were readily available to clinicians in the right location at the right time.
