The company leverages technology and processes to facilitate communication between limited partners, general partners, and portfolio organizations. Altvia offers a range of expert services, including investor relations, business intelligence, capital raise and deployment, and compliance. The company has a global clientele of top firms and is a premier entity for private equity created on Salesforce.
The Challenge
Altvia, a software-driven company that assists private equity firms to strengthen their relationships with clients using data intelligence, was facing a significant operational challenge. Despite being a company that helps others streamline their processes, Altvia was struggling with its own internal operations. The company had created an overwhelming number of processes in an attempt to enhance efficiency. However, this approach proved to be counterproductive. With as many as ten different processes for a single task, team members were overwhelmed and struggled to identify the useful information from the clutter. They often picked the wrong document from the pile and had many questions about what to do and how to do it. The Chief Operating Officer, Ben Hendershot, recognized that the issue lay in the gaps in their processes and the lack of a unified system.
The Solution
To resolve the operational problem, Ben decided to adopt SweetProcess, a cloud-based workflow management system. The decision was driven by the need to create a single version of every procedure to avoid confusion. The cloud-based nature of SweetProcess allowed Ben and his team to track activities and update files instantly on the system, unlike the Google Docs they were previously using. SweetProcess allowed Altvia to simplify and streamline their documentation process. Instead of multiple documents for a single task, they could create a single document containing all the necessary information to execute each task. The system also facilitated seamless employee onboarding and training, providing new hires with all the information they needed to understand their duties. Additionally, SweetProcess served as a reference for knowledge distribution, eliminating the knowledge gap among employees and reducing dependency on a select few.
